Import a bank statement PDF into QuickBooks Online

Convert the PDF and choose the QuickBooks / Sage Accounting export: three columns, Date, Description and Amount, with day-first dates. In QuickBooks Online, go to Bank transactions, choose Upload from file, and match the three columns.

QuickBooks Online takes a list of bank transactions as a CSV, but only in two layouts: three columns with one amount, or four columns with money in and money out separated. A file with anything else in it, such as a running balance, fails until it is cut down.

The converter has an export made for this, with exactly three columns and day-first dates, which is the format Intuit recommends. QuickBooks can also read a PDF statement itself, using AI and, where needed, a review by its own team. Converting first means you check every transaction in a preview, and keep a file you can also use in a spreadsheet or hand to your accountant. Below is how to upload it, the file rules Intuit sets, and how to check the result.

How to upload a bank statement to QuickBooks Online

  1. Convert the statement PDF and choose the QuickBooks / Sage Accounting export.
  2. In QuickBooks Online, go to Accounting, then Bank transactions, and select the tile for the account if you see one.
  3. Open the Link account menu and select Upload from file.
  4. Drag in the CSV, select Continue, and choose the QuickBooks account the transactions belong to.
  5. Match the columns in the file to the fields in QuickBooks: Date, Description and Amount. If asked for a date format, choose day, month, year.
  6. Select the transactions to import, select Continue, then Yes and Done.

The file rules Intuit sets, and how the export meets them

Intuit's guidelines for a transaction list are short and strict. The converter's general CSV and Excel exports break two of them, because they include Balance and Reference columns and write dates with hyphens. The QuickBooks / Sage Accounting export is built to meet them.

Money out is negative and money in is positive, with two decimals and no thousands separators. For example: 15/03/2026, POS PURCHASE WOOLWORTHS, -150.50.

Limits, and what to do if an upload fails

  • One upload can be up to 350 KB and 1,000 lines, one transaction per line. For a busy account, upload one month at a time.
  • Intuit's guidelines ask for numbers to be removed from the Description column, and its troubleshooting checklist starts with special characters. Bank descriptions often contain card numbers and references, so if an upload fails, open the CSV, remove those from the descriptions, and save it as CSV again.
  • If it still fails, Intuit suggests copying the data into a new spreadsheet in the correct layout and saving it as a Windows CSV.
  • QuickBooks also uploads QBO and QFX files. If your bank offers one of those for the period, it is an alternative to the CSV.

Checking the upload against the statement

QuickBooks shows you the transactions before it imports them, which is the moment to catch a problem. A minute of checking here saves an afternoon of unpicking categorised transactions later.

  1. In the converter preview, note the number of transactions and the net figure, and check that the net figure added to the opening balance on the PDF gives the closing balance.
  2. On the step where you select transactions in QuickBooks, check that the number listed matches the preview.
  3. Look at two or three transactions you know: one salary or deposit and one card payment. Money in should show as a deposit and money out as a payment.
  4. If every amount has the wrong direction, go back to the column matching step and check how the Amount column was matched.

After the upload

Intuit's next steps after an upload are to match and categorise the transactions, then reconcile the account. Bank rules you set up beforehand help, because QuickBooks applies them to uploaded transactions too.

Intuit also advises that the transactions you upload start at least one day before the oldest transaction already in QuickBooks for that account, and that you check your chart of accounts first to avoid duplicates. Keep the original PDF statement with your records: the CSV is a working file, and the statement is the document SARS or an auditor would ask to see.

Before you upload

  • A free account converts 5 pages a month. Each PDF page counts as one, and a CSV counts as one however long it is. After that you can buy credits, and Premium subscribers convert without a monthly page limit.
  • One PDF upload can be up to 20 pages and 8 MB. Split anything longer by month.
  • The PDF must have selectable text. A scanned or photographed statement has none, so download the digital version from online banking instead.
  • Password-protected PDFs have to be unlocked first. Our guide to password-protected bank statements shows how.
  • Where a statement prints dates without the year, the converter takes the year from the statement period. If a statement runs from December into January, check those dates in the preview.
  • A PDF is read in memory over an encrypted connection and is not saved. A CSV never leaves your browser.
