Petty Cash Register

Built for the imprest system most small businesses run: a fixed float, a numbered voucher for every payment, and a top-up that brings the box back to the float. Each row carries the voucher number, a category for posting to the ledger, money in and out, the running balance and the signature of whoever took the cash. The reconciliation box compares what should be in the box with what was counted, so a shortfall is found on the day rather than at year end.

STOCK AND FIXED ASSETS

Count stock at year end and write down damaged or slow-moving items

Update the fixed asset register for additions, disposals and depreciation

Check that the major assets on the register still exist and are in use

DEBTORS AND CREDITORS

Review the debtors age analysis and write off debts that will not be paid

Agree the balance owed to each major supplier to their statement

Record accruals for costs incurred but not yet invoiced, and any prepayments

BANK, CASH AND LOANS

Reconcile every bank account to the bank statement on the year-end date

Count petty cash and agree it to the petty cash register

Obtain loan statements and split each repayment into interest and capital

Agree the loan accounts with directors or members and confirm their terms

PAYROLL

Reconcile salaries, PAYE, UIF and SDL in the ledger to the payroll reports

Prepare the annual EMP501 reconciliation and issue IRP5 certificates

Work out the leave pay owed to staff at year end and provide for it

TAX

Make the second provisional tax payment by the last day of the financial year

Decide whether a voluntary third provisional payment will save interest

Reconcile the VAT returns for the year to turnover and the VAT account

Diary the ITR14 return, which is due within 12 months of the year end

COMPANY RECORDS

File the CIPC annual return and beneficial ownership declaration on time

Confirm whether the financial statements need an audit or a review

Have the directors approve and sign the annual financial statements

Back up the accounting records and lock the closed year against changes

CIPC annual returns: a company files within 30 business days after the anniversary of its incorporation, and a close corporation in its anniversary month or the month after. Late filing attracts penalties and can lead to deregistration.
